Board and Committee Job Descriptions

BOARD POSITIONS

President - Manages overall team operations. Finds/Interviews and hires coaches - guides coaches through the league hiring processes and requirements. Observes coach performance and offers advice for improvement. Main contact point with parents. Reviews budgets and approves expenditures. Helps develop yearly practice/event schedule. Works with BL HOA for yearly contract. Helps with sponsorship. Works with WHALe rep to coordinate team policy votes. Helps other board members and committee members complete their tasks to ensure success of team. Considers ways to improve the team operations every year.

Vice President - This is a position for training and learning the President position. Helps the president with tasks before, during, and after the season and learns the President job role.

Volunteer Coordinator - Works with team parents to make sure each job is filled for each meet/event. Keeps track of judge/console training status.

Technology and Communications - Keeps information on the team website up to date, sets up team calendar on webpage, Email, Facebook, and Remind Communications, sponsor page setup.

Treasurer - Manages team finances. Writes paychecks for coaches and reimbursements for team purchases. Handles filing the nonprofit information with the IRS each year.

Secretary - Takes minutes at the board meetings and assists with team communications.

WHALe Representative - This is our team's representative to the WHALe league. Attends monthly WHALe meetings (Approx Feb through Aug). Votes for/against WHALe policy changes to benefit/or prevent harm to the team and maintain proper swimmer, parent, team representation. Keeps other board members in the loop on league business. Coordinate with opposing team WHALe reps for dual meets. Holds a minor volunteer committee position within the League that may include Design/purchase of League T-Shirts, Ribbon distribution, Console distribution, Concessions coordination, etc for end of season meets.

COMMITTEE JOBS

Concessions Lead - This lead manages the ordering and pick up of the drink and food items sold during home meets. You are also responsible for reconciling the tab balances from meet to meet. Concessions sold provide the team with extra income. Can also coordinate with social events to use extra food/drinks and minimize over purchase.

Equipment Maintenance - Make sure swim team equipment (backstroke flags, grill, practice tools, storage, canopies, etc) is/are properly maintained and in good working order. Assist with repair and/or purchasing of new equipment as needed.

Social Events Planning - Helps plan and coordinate social events each season. Orders/buys food/snacks, drinks, desserts, decorations, toys/games, etc. Typical swim team events have included include spirit night, ice cream social, movie night, teen/tween swim night, and end of season party.

Clothing/Items Sales and Awards - Work with the t-shirt company to design the team shirt for the swim season. Order the team and coach shirts and manage the delivery to the team. Coordinates with Sponsorship lead for sponsor logos for back of shirt. Track and deliver orders of other team merchandise (yard signs, swim caps, etc). Help with the selection of the team suit. Order team yearly awards (nice medals or small trophies) and prepare them for distribution at end of season party to all swimmers.

Fundraising and Sponsorship - Reach out to local businesses to find sponsors for the team. We have different levels we offer. Organize restaurant spirit nights or other fundraising events as needed. Get the sponsor artwork and order the banners displayed at the pool. Coordinate with Webmaster and Clothing Lead for sponsor logos on the website and on the shirts.
